The Real Cost of Disconnected Systems
When the CRM, accounting, and day-to-day operations don't share data, the cost may not show up on any invoice — it may show up in how long it takes to close the month.
Where It Breaks First
Part of the cost of disconnection can show up in the work someone does to compensate for two systems that don't talk to each other, not necessarily in the software license or the vendor's invoice.
This work has a recognizable shape. Someone exports. Someone pastes. Someone reconciles two lists that should be the same one. Someone asks which number is the right one.
Those tasks can fall outside anyone's explicit responsibilities, and because of that, outside the usual measurements too.
The Three Costs That Go Unmeasured
The cost of rebuilding. When information lives spread across several systems, a complete version may not exist in any single place. A report that crosses departments may require rebuilding the state by hand, and that work can repeat itself without ever leaving behind a reusable foundation.
The cost of distrust. When two systems produce different numbers, the team can stop trusting either one. The result may not be that one gets chosen — it may be that a third one gets created, a spreadsheet, say, that ends up functioning as the company's unofficial source of truth.
The cost of latency. Data that takes three days to move from one system to another can be out of date for that entire period, and decisions that depend on it can start from an incomplete picture.
What Can Be Measured
Before switching systems, it's worth reviewing three measures:
- How many days it takes to close a month, and how many of those days are manual reconciliation.
- How many times the same piece of data gets entered. Data typed into three systems gets entered three times — and can be wrong three times.
- How many spreadsheets are holding up critical processes. If the operation stops when a file that lives on one person's computer goes missing, that's a system, not a file.
What to Do Before Switching
Switching tools without changing the underlying data architecture can reproduce the same problem with a different vendor.
The useful question isn't which software is better, but where each piece of data should live and who its single source of truth is.
If that question has no answer before you switch, switching software won't answer it for you.
