What to Ask Before Buying Management Software
A demo can focus on the happy path. These questions help you explore what's left out.
Why Demos Mislead Without Lying
A demo can be prepared with clean data, a simple case, and a rehearsed path. That doesn't necessarily mean deception — the hard case can simply be left out of the demo.
Problems can show up later, once the real operation has exceptions, different volumes, and historical data nobody planned for.
Questions About Your Data
Can I export everything, at any time, without asking permission? If the answer comes with conditions, think it over before signing. What happens to my data if I stop paying? Can I query my own data directly?
Questions About the Limits
- What doesn't this product do? If a vendor can't answer that clearly, it's worth digging into the question before deciding.
- What forces an additional custom build?
- What happens when I need an exception to one of the system's rules?
Questions About the Real Cost
- What does this cost beyond the license? Implementation, migration, training, integrations, and support can add costs well beyond the license.
- How does the price change if we double in size?
- What gets billed separately?
The Final Question
Can I talk to someone who's using it in an operation similar to mine?
The answer to that question — and the vendor's willingness to answer it — can reveal information a demo never shows.
